Position Description
Geotemps, Inc. is a stable, family-owned and operated leader in professional personnel services. We have been providing temp and temp-to-hire staff to the Minerals, Mining and Geosciences industries in the Western United States for over 30 years!

Our Administrative Assistant plays a vital role on our Tucson team by performing a variety of administrative and clerical responsibilities including answering and directing phone calls, responding to general inquiries, interfacing with visitors and applicants, completing extensive data entry, filing and preparing employment paperwork.

Essential Job Functions may include the following or other duties as assigned:

  • Answering, screening and properly routing telephone calls.
  • Retrieving, sorting and dispersing mail for office.
  • Conducting data entry into corporate system related to applicants, employees, prospective clients and current clients.
  • Scheduling, confirming and providing any needed support for meetings and events.
  • Creating and maintaining physical and electronic files.
  • Providing coverage and support for branch staff.
  • Assisting with reference checking and employment verifications.
  • Assisting with noting employee arrival on the job and period check-ins with employees and clients.
  • Working closely with applicants through confirming information in corporate database, reviewing open jobs, taking availability calls, assisting with online profile login credentials, and answering any questions as needed.
  • Assisting with employee time sheet process.
  • Assist others as requested or assigned.
  • Perform related duties as required.

  • Minimum Education: High School Diploma
  • 2 Years’ experience administrative and customer service experience (preferred)
  • Intermediate proficiency in Windows 10, Microsoft Office Suite 365 including Outlook, Word, Excel, etc.
  • Intermediate proficiency in the use of a printer/scanner/fax, multi-line telephone, postage meter, and other basic office equipment
  • Must be able to work independently once trained and be proactive regarding the needs of the team and the office while reporting progress and any concerns to management
  • Must be able to interact successfully with all levels of staff, clients and vendors
  • Must be able to communicate clearly and professionally in writing, on the telephone and in person
  • Must be able to read, write and speak fluently and professionally in English
  • Must be able to develop and maintain awareness of occupational hazards and safety precautions
  • Must be able to follow directions completely, accurately and consistently
  • Required Licensing: Current driver’s license
  • Must have reliable transportation to and from the jobsite
  • Required Availability: Monday through Friday, 8:00 AM to 5:00 PM with some rare overtime for special events
  • Able to successfully complete Reference Check, Background Check, Motor Vehicle Records Check and Drug Screen

Environment
This position is located indoors in a business office which does not generally require exposure to extreme weather or temperatures. Noise levels are generally low; however, this can vary based on the level of visitors, events being held in the office and other factors. Interaction with the public can also vary greatly from minimal foot traffic to high level, non-stop activity. One must be prepared to interact at any level at a moment’s notice.
